Clarify the specifications

Before embarking on the supplier search process, it is important to determine the exact needs of your project first. This is called the specifications. Your DocShipper consultant will determine this with you and can possibly advise you on certain points if necessary! Our advice is also included in the support, it's something we've always hesitated to charge, and after all, it's part of the package: your satisfaction is our success, so let's build a long-term relationship!

These specifications must be communicated in a meticulous and synthetic manner so that your DocShipper consultant (and the supplier at the end) can save time, your time. The necessary information is as follows:

2. The MOQ (Minimum Order Quantity) as well as the target price for each reference

If you plan to buy 10,000 electric bikes, we need to know the quantities for each reference: colors, power, and target price. You can of course come up with much more abstract projects, but this will impact the speed of the process. Logically, if there is less precision, it will require more back and forth between you and our consultant to determine your needs. Round trips which, by definition, will waste everyone's time, and you will be the first, so you should prepare the details well in advance!

Supplier search

A vital step in the procurement process, finding the supplier who can meet your needs. We are therefore going to launch our research to find an actor who can comply with your requirements:

Certifications held by the supplier

Standards and compliance audits

Your DocShipper advisor is in direct contact with our legal team, who will study administrative needs. Following this, we will inform you of the various documents necessary to be able to import the products into the country of destination: CE marking, ROHS, EEC, ISO, EN71 ...

This study requires special collaboration with local authorities in the country of destination. This part is not to be taken lightly, it is enough to forget the slightest document and your project may fall apart, so do not rush this step.

Note that legislative monitoring is essential to be constantly up-to-date with new directives, which are regularly updated!

Sample request (Optional but recommended)

We have finalized negotiations with the supplier, now is the time for you to see what the final product looks like! And for that, nothing better than to have it in hand. We will deal directly with the supplier to arrange for a sample to be sent to you so that you can see and most importantly test your product. This phase is not compulsory, but highly recommended!

Note that the supplier often offers a free sample, but you will probably have to pay the shipping costs. In this case, we will use express services (such as DHL, FedEx, TNT, UPS ...) for a fast and competitive shipment.

Customized Quality Control (Optional)

Quality control is a phase that can be done at several stages of the process, it depends on your needs. This step makes it possible to certify that the products correspond to what has been contracted with the supplier, that there are no manufacturing defects or omissions ...

The control is done according to 2 factors that you will determine yourself:

Appearance check: this is a visual check only (printing of a mark, labeling, minor manufacturing defect, etc.)
Function control: this is a control of the different product performances (indicator light, buttons, batteries, etc.)

Typically, you will pay 30% of the order to start production and the remainder (70%) will need to be paid when the shipment is ready. And that's exactly when control really makes sense. We will contract with the supplier that a QC (Quality Control) will be carried out before the payment of the 70% and that if the test report is not validated by our inspectors, the supplier must take back the defects to collect the balance of the ordered. Note that the inspector will note the defects according to 3 categories: minor, major and vital.

Note that although this step is not mandatory, it is strongly recommended, especially when you have no history with a particular supplier. Concretely, placing a first order with a supplier and paying 100% of the order without being sure of the quality of the product is a pure suicide!

Supplier payment

Quality control (if done) is approved, now it is time to finalize the order by paying the balance of your shipment. Usually this balance will be 70%. Once again, we support you in this process, whether at the level of the payment method (PayPal, credit card, bank transfer, letter of credit) but also at the level of the currency itself. We have multi-currency accounts capable of supporting the most popular currencies (USD, EURO, GBP, THB, HKD, RMB ...).
